Job Description

 

Position: Office Manager

 

General description:

The Office Manager is responsible for providing friendly knowledgeable reception for the Church Council; managing/coordinating office services including copy services, word processing, communication systems, mail and distribution services; providing support for the accounting office; and, as time allows, providing support for the Executive Director and Associate Director.      

 

The Office Manager reports to the Associate Director for Program & Administration.  This is a 40-hour per week (full time) non-exempt position.

 

Specific Responsibilities:

  1. Provide  multi phone and in-person reception at the Church Council office;
  2. Provide data entry and other support for accounting office;
  3. Perform general office support including word processing, copying, filing, faxing, mail processing, shredding, organizing, file maintenance, and errands;
  4. Provide administrative support to Executive and Associate Directors as time allows;
  5. Maintain confidentiality;
  6. Provide meeting support including notices, packets, set up, snacks, minutes and finding/confirming space;
  7. Coordinate with senior staff on Special Events planning/implementation;
  8. Maintain or coordinate maintenance of telephone system, office machines, postage meter, building and premises;
  9. Maintain staff lists, calendars, room schedules, onsite voice mail, speed dial programming, mailboxes, etc.;
  10. Communicate with staff on general updates, closures, meetings etc.;
  11. Maintain inventories of supplies/forms;
  12. Coordinate publication orders;
  13. Export and prepare mailing labels; 
  14. Schedule and supervise office volunteers as needed;
  15. Maintain proper appearance of all common areas;
  16. Perform other duties as assigned.

Remuneration:

 

Salary:  $14.50/hour+ DOE.  Benefits include medical/dental insurance (currently paid in full), paid vacation/sick leave and paid holidays as provided by the Church Council Human Resources Policies.
